# Zoom Productivity

## Overview

Zoom is the default video meeting platform — and most people use 10% of it while suffering through the other 90%.

Pro Zoom = configured once (audio/video/settings), hosting with control (waiting room, co-hosts, breakouts), and facilitation that respects remote attention.

## When to use

- Hosting meetings, interviews, or client calls on Zoom
- Running webinars or large group sessions
- Daily video-call life: looking/sounding professional

## Core concepts

- **Audio first.**
  Good audio matters more than good video. External mic or quality headset, quiet room, test before important calls. 'Can you hear me?' is preventable.
- **Video setup.**
  Camera at eye level, face lit from the front, uncluttered background (real or blurred). You don't need a studio — you need light on your face.
- **Core settings.**
  HD video, noise suppression, 'join with computer audio' defaults, waiting room on, screen-share permissions set before meetings.
- **Host controls.**
  Mute/unmute all, waiting room admission, co-host assignment, breakout rooms, polls, spotlight/pin. Learn them before you need them live.
- **Breakout rooms.**
  Pre-assign or auto-assign, timed, with broadcast messages. The tool that makes large meetings actually interactive.
- **Recording and transcripts.**
  Cloud recording + auto-transcripts for important meetings. Know consent norms; announce recording always.
- **Keyboard shortcuts.**
  Mute (Alt+A), video (Alt+V), share (Alt+S), reactions. Hosting without fumbling for buttons.
- **Calendar integration.**
  Zoom add-in for scheduling with settings baked in (waiting room, recording, breakout pre-assign). One-click correct meetings.

## Practical workflow

1. **Configure once.**
   Audio/video defaults, noise suppression, virtual background or blur, display name + pronouns, profile photo.
2. **Test before important calls.**
   2-minute pre-check: mic levels, camera framing, lighting, screen-share a test window. Every time it matters.
3. **Set up meeting templates.**
   Recurring meetings with right defaults: waiting room, auto-record, co-host assigned, breakout rooms pre-built.
4. **Learn host controls cold.**
   Practice in a test meeting: admitting, muting, breakouts, polls, spotlighting. Live meetings are not practice time.
5. **Facilitate actively.**
   Agenda shared, cameras-on norms stated, round-robins for quiet voices, chat monitored (assign someone), breaks every 60-90 min.
6. **Use breakouts well.**
   Clear task + timebox + deliverable per room; broadcast warnings; debrief in main room. Breakouts without structure waste time.
7. **Record deliberately.**
   Record decisions-heavy meetings; share recording + transcript + action summary within 24h. Don't record everything by default.
8. **Master the shortcuts.**
   Mute/video/share/reactions from keyboard. Looking at the camera, not hunting buttons, while hosting.

## Common pitfalls

- **Bad audio.**
  Laptop mic in an echoey room. A $30 headset fixes the #1 remote-meeting complaint.
- **No agenda, no facilitation.**
  30 people on a call with no purpose. Remote meetings need tighter facilitation, not looser.
- **Screen-share fumbling.**
  'Can you see my screen?' for 5 minutes. Pre-open, pre-test, share the right window (not full desktop with notifications).
- **Breakout chaos.**
  Rooms with no task or timebox. People return confused. Task + time + deliverable, always.
- **Recording without consent.**
  Legal and trust implications vary by jurisdiction. Announce always; get consent where required.
- **Back-to-back video.**
  No breaks between calls all day. 25/50-min defaults, 5-min buffers, camera-off breaks to rest eyes.
- **Ignoring chat.**
  Questions piling in chat while the host monologues. Assign a chat monitor for meetings over 10 people.
- **Default settings forever.**
  Never configuring noise suppression, HD, or waiting rooms. Ten minutes of setup improves every future call.
